Welcome to Still Creek Rugby Society. By registering for and participating in our programs, you agree to be bound by these Terms and Conditions. Please read them carefully before completing your registration.
1. Acceptance of Terms
By registering a participant for Still Creek Rugby Society programs, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions, as well as our Registration & Cancellation Policy, Waiver and Release of Liability, and Code of Conduct. These documents collectively govern your relationship with Still Creek Rugby Society.
2. Eligibility and Registration
2.1 Age Requirements: Programs are designed for female youth participants. Specific age requirements are listed for each program and must be met as of the first day of the camp or program.
2.2 Registration: Registration is completed online through our website. All information provided must be accurate and complete. Parents or legal guardians must complete registration on behalf of minors.
2.3 Confirmation: Registration is not confirmed until full payment has been received and processed. A confirmation email will be sent to the email address provided during registration.
2.4 Enrollment Capacity: Programs have limited enrollment. Registration is processed on a first-come, first-served basis. Still Creek Rugby Society reserves the right to close registration when capacity is reached.
3. Payment and Fees
3.1 Payment: Full payment is required at the time of registration unless alternative arrangements have been made with Still Creek Rugby Society in writing.
3.2 Payment Methods: We accept credit card, debit card, and e-transfer payments. Payment processing is handled securely through our online registration system.
3.3 Non-Refundable Processing Fee: All registrations are subject to a processing fee, which is non-refundable regardless of cancellation timing.
3.4 Financial Assistance: Still Creek Rugby Society is committed to ensuring accessibility. Families requiring financial assistance should contact us directly to discuss available options. All inquiries are handled confidentially.
4. Cancellation and Refund Policy
4.1 Cancellation by Participant: Participants who cancel their registration 14 days or more prior to the first day of camp are eligible for a full refund, minus any processing fees. Cancellations received less than 14 days before the start date are not eligible for a refund.
4.2 Cancellation by Still Creek Rugby Society: In the event that Still Creek Rugby Society must cancel a program due to insufficient enrollment, weather conditions, facility issues, or other unforeseen circumstances, participants will receive a full refund or the option to transfer to another available session.
4.3 No-Show: Failure to attend without prior cancellation will result in forfeiture of all fees paid.
4.4 Refund Processing: Approved refunds will be processed within 7-10 business days and issued to the original payment method.
5. Program Participation
5.1 Attendance: Participants are expected to attend all scheduled sessions. Still Creek Rugby Society is not responsible for missed sessions due to participant absence.
5.2 Health and Safety: Participants must be in good health and able to participate in physical activities. Parents/guardians must disclose any medical conditions, allergies, or physical limitations that may affect participation.
5.3 Equipment: Still Creek Rugby Society will provide necessary rugby equipment for training. Participants are responsible for bringing appropriate athletic clothing, footwear, and personal items (water bottle, sunscreen, etc.).
5.4 Code of Conduct: All participants must adhere to the Still Creek Rugby Society Code of Conduct. Violation of the Code of Conduct may result in removal from the program without refund.
6. Health, Medical, and Emergency Procedures
6.1 Medical Authorization: By registering, parents/guardians authorize Still Creek Rugby Society staff to seek emergency medical treatment for the participant if necessary.
6.2 Medical Costs: Parents/guardians are responsible for all costs associated with medical treatment, including ambulance transport, emergency room visits, and follow-up care.
6.3 Insurance: Participants should maintain appropriate health and accident insurance coverage. Still Creek Rugby Society does not provide insurance coverage for participants.
6.4 Illness or Injury: Participants who are ill or injured should not attend camp. If a participant becomes ill or injured during the program, parents/guardians will be contacted for immediate pick-up.
7. Waiver, Release of Liability, and Assumption of Risk
7.1 Acknowledgment of Inherent Risks: Parents/guardians acknowledge that participation in Still Creek Rugby Society camps and activities involves inherent risks, including but not limited to:
• Physical injury, including sprains, strains, fractures, concussions, and other injuries
• Contact with other participants, equipment, and playing surfaces
• Exposure to weather conditions and outdoor environments
• Travel to and from camp activities and facilities
• Other risks associated with rugby and athletic activities
Parents/guardians acknowledge that these risks cannot be eliminated and that injuries can occur despite the best efforts of coaches, supervisors, and organizers to provide a safe environment.
7.2 Assumption of Risk: Parents/guardians voluntarily assume all risks associated with the participant's involvement in Still Creek Rugby Society programs, both known and unknown, and accept full responsibility for the participant's participation.
7.3 Release and Waiver of Liability: In consideration for the participant being permitted to participate in Still Creek Rugby Society programs, parents/guardians hereby release, waive, discharge, and covenant not to sue Still Creek Rugby Society, its directors, officers, employees, volunteers, coaches, agents, and representatives (collectively, the "Released Parties") from any and all liability, claims, demands, actions, and causes of action whatsoever arising out of or related to any loss, damage, or injury, including death, that may be sustained by the participant while participating in such activities, whether caused by the negligence of the Released Parties or otherwise, to the fullest extent permitted by law.
7.4 Indemnification: Parents/guardians agree to indemnify and hold harmless the Released Parties from any loss, liability, damage, or costs, including legal fees, that may occur as a result of the participant's participation in Still Creek Rugby Society programs, whether caused by the negligence of the Released Parties or otherwise.
7.5 Signed Waiver Required: All participants must complete and sign the Still Creek Rugby Society Participant Waiver and Release of Liability form prior to participation. The signed waiver is a binding legal document and is required for program participation.
8. Photography and Media Use
8.1 Photo/Video Consent: Still Creek Rugby Society may photograph or video record participants during camp activities for promotional, educational, and marketing purposes. Parents/guardians may opt out of photo/video use by indicating their preference on the waiver form.
8.2 No Compensation: No compensation will be provided for the use of photographs or videos featuring participants.
9. Participant Conduct and Dismissal
9.1 Behavioral Expectations: All participants are expected to follow the Still Creek Rugby Society Code of Conduct, which includes respectful behavior, positive attitude, and adherence to safety rules.
9.2 Dismissal: Still Creek Rugby Society reserves the right to dismiss any participant whose behavior is deemed disruptive, unsafe, or in violation of the Code of Conduct. Dismissal will result in forfeiture of all fees paid, and no refund will be issued.
10. Schedule and Program Changes
10.1 Program Content: Still Creek Rugby Society reserves the right to modify program content, schedule, activities, and coaching staff as necessary to ensure the best experience for participants.
10.2 Weather and Facility Issues: In the event of inclement weather or facility unavailability, programs may be relocated, rescheduled, or cancelled. Participants will be notified as soon as possible. No refunds will be provided for weather-related schedule changes unless the program is cancelled entirely.
10.3 Communication: Important updates will be communicated via email. Parents/guardians are responsible for monitoring email and ensuring contact information is current.
11. Personal Property and Lost Items
Still Creek Rugby Society is not responsible for lost, stolen, or damaged personal property. Participants should not bring valuable items to camp. We recommend labeling all personal belongings with the participant's name. Lost and found items will be held for 30 days, after which they will be donated.
12. Privacy and Data Protection
12.1 Personal Information: Still Creek Rugby Society collects personal information (name, date of birth, contact information, medical information) solely for the purpose of program administration, participant safety, and communication.
12.2 Data Security: We take reasonable measures to protect personal information from unauthorized access, disclosure, or misuse.
12.3 Third-Party Sharing: Personal information will not be shared with third parties except as required by law or with your explicit consent.
13. Communication and Notifications
By registering, you consent to receive communications from Still Creek Rugby Society via email, phone, or text message regarding program updates, schedules, and important notifications. You may opt out of non-essential communications at any time by contacting us.
14. Governing Law and Jurisdiction
These Terms and Conditions are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable therein. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of British Columbia.
15. Severability
If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
16. Amendments to Terms
Still Creek Rugby Society reserves the right to modify these Terms and Conditions at any time. Changes will be posted on our website with an updated effective date. Continued participation in programs after changes have been posted constitutes acceptance of the modified terms.
17. Entire Agreement
These Terms and Conditions, together with the Registration & Cancellation Policy, Waiver and Release of Liability, and Code of Conduct, constitute the entire agreement between the participant/parent/guardian and Still Creek Rugby Society regarding participation in programs.
